This statement explains how we process your personal data when you visit our website, contact us, or register for the congress, workshops or newsletter.
Controller and contact

The data we process and why
Technical data when you visit the website: Your IP address and technical request details, such as browser information, are transmitted to the services involved in delivering the website. These data support content delivery, secure operation and troubleshooting.
Contact details and correspondence: When you write to us, we use your email address, the contact details you provide and the content of your message to respond to your enquiry and carry out the related work of the association.
Registration details: Depending on the form, we process your first name, last name, email address, media outlet or organisation, preferred workshop and alternative, and congress registration status. We use these details to handle your registration, organise the event, allocate workshop places and communicate with you. We do not ask for a title or salutation.
Consent and registration records: We store your newsletter consent, the registration time, language, the wording and version of the consent statement, and the confirmation status and time where applicable. These records allow us to document the registration process and your consent.
Technical form data: To help prevent misuse, we store a truncated IP address and the user-agent string, which is the browser and device identifier sent by your browser. IPv4 addresses are truncated to a /24 network and IPv6 addresses to a /48 network. This truncation applies to storage in our registration database; the services involved initially receive the full IP address to establish the technical connection.
Cookie preferences and consent: We use your choices in the cookie banner to apply your settings and manage consent. Statistics and marketing cookies are set only with your explicit consent. Individual cookies and their purposes are listed at the end of this page.
Congress and workshop registration
We use your registration details to organise the congress and workshops and send related messages and confirmations. Congress and workshop bookings are separate. The association confirms attendance and workshop allocation individually. Your preferred workshop, any alternative and your congress registration status help us plan the event.
Forms are processed through Supabase and stored in our database. We use CleverReach for registration confirmations. Newsletter registration is separate from event registration and requires your corresponding consent.
Newsletter
We use your first name, last name and email address to send you news about the association. CleverReach handles delivery and signup confirmation. We use double opt-in: after signing up, you must confirm your email address by following the confirmation link. Your newsletter subscription is activated only after this confirmation.
We record the wording, version and time of your consent, along with the confirmation status. You can withdraw your consent at any time using the unsubscribe link in newsletter emails or by contacting office@verein-uj.ch.
Service providers and international transfers
We use the following services for the purposes described above. This also involves processing personal data outside Switzerland:
Vercel Inc., United States: Website hosting and delivery. Delivery via Frankfurt, Germany, has been verified. This does not mean that all processing is restricted to Germany; using a provider based in the United States may also involve processing there.
Supabase, project region eu-west-1, Ireland: Database and form processing for the registration, consent and technical form data described above.
CleverReach GmbH & Co. KG, Germany: Newsletter delivery and registration confirmations. We transmit the data needed for the relevant registration and delivery.
Cookiebot, Usercentrics A/S, Denmark: Management of cookie consent and provision of the cookie declaration.
Google Tag Manager, container GTM-WCGBTMTJ: Management of website tags. Loading the service transmits technical request data to Google; processing in the United States is possible. Please see Google Tag Manager's privacy information and Google's privacy policy for information about the service.

The international processing described above involves Germany, Ireland, Denmark and the United States. A database's project region or a website's delivery location does not necessarily determine where every service provider is based or all locations from which data may be accessed.

Retention
We retain the personal data we process for the stated purposes indefinitely, subject to those purposes and for as long as the association's purpose requires their retention. We do not apply a single fixed retention period. Retention depends on whether the data remain necessary for the particular task, such as organising events, providing communications you have requested or documenting consent. Once that need ends, the association's purpose alone does not justify continued retention.
Anyone whose personal data we process may request deletion at any time by contacting office@verein-uj.ch. Legal retention obligations or overriding legitimate interests may prevent immediate deletion of all data; if so, we will explain the reason.
